The cancellation policy below will apply for all cancellation scenarios, with no exceptions. This cancellation policy has been designed to be as compassionate as possible in the case that plans change, whilst also understanding our commitment to and cancellation policies with our vendors.
All cancellations must be submitted in writing by email to info@bodyflows.com.
If you would like to switch from one retreat date to another retreat date, this is considered a cancellation of the original retreat and will follow the cancellation rules below.
There will be no refunds under any circumstances.
For USA retreats, for cancellations made more than 90 days prior to the retreat start date, any payments made may either be transferred to a friend or family member, or to another retreat that is currently open for registration on the Body Flows website, within 7 days of your cancellation email.
For non-USA retreats, for cancellations made more than 90 days prior to the retreat start date, any payments made may be transferred to a friend or family member, or transferred to another retreat on the Body Flows website if we are able to fill your spot.
For cancellations made 90 days or less prior to the retreat start date, any payments made may be transferred to a friend or family member, otherwise all payments will be forfeited and you should contact your travel insurance company for reimbursements. Body Flows cannot refund any payments for any reason (COVID, injury, illness, death). We highly recommend purchasing travel insurance.
For transfers to friends or family members, their information must be updated in the booking system and their contact information must be emailed to us at info@bodyflows.com at the time of the transfer.
Payments may only be transfered to another Body Flows retreat a maximum of 3 times.
The cancellation fee is the amount equal to the non-refundable deposit for that retreat.
There will be no refunds nor discounts for arriving late, leaving early, flight cancellations, travel delays or illness. For additional protection due to any unforseen circumstances, it is highly recommend that all participants purchase travel insurance at the time of booking the retreat.
In the rare event of a cancellation by Body Flows due to low registrations, the participant will be given the option to transfer all payments to a future retreat or to receive a full refund. Body Flows cannot compensate participants for airfare, hotel and travel costs incurred.
In the rare event of a cancellation by Body Flows due to dangerous weather, political unrest, acts of god and other force majeure events, any refund provided will depend on Body Flows receiving a refund from the venue. Body Flows cannot compensate participants for airfare, hotel and travel costs incurred.
To cover these risks, it is strongly recommended that all participants purchases travel insurance.
If any payment is not received by participant prior to or on the due date for that payment, Body Flows has the right to cancel the participant's registration for that retreat. In this case, no refund will be provided.
Body Flows reserves the right to refuse or cancel any participant's registration for any reason. In this case, a full refund will be provided.
Travel insurance can protect participants against participant cancellation, Body Flows cancellation, lost or delayed baggage, medical expenses and the cost of repatriation should the participant become ill or injured. It is strongly recommended that all participants purchase travel insurance, including a 'cancel for any reason' option in order to protect them against the rare chance of cancellation. Travel insurance can be purchased at Insure My Trip.
Body Flows reserves the right to make any changes deemed necessary by its team, leaders, teachers or business partners.
